So... how carried away do you get with your WDW trip planning?

Just how obsessive and disruptive to normal daily life is your pre-trip planning regiment? Being an analytical and compulsive planner, it was only natural that I would start to get a little carried away with the planning stages of our trips. Each trip my planning gets a little more involved. I'm sure I am an entry-level Disney pre-planner so I'm looking forward to what other folks do to organize and plan their trips! As we only can afford to come, at most, once a year, I try to make sure we maximize our experience!

Disney vacations are a family tradition for us. We first visited WDW in 1972 - I was 6 and my sister was 2. We lost count of the early visits, but we figure we are at around 14 visits - including 3 visits since 2011 (this year will make 4). Our recent return to Disney vacations was my mother's idea. She enjoys vacationing with my sister and I. And since we love to plan the vacation, she just sits back and let's us handle the planning. All the recent trips have been between Thanksgiving and Christmas - with the last 2 being the week after Thanksgiving. This year's trip will be the same time. We have learned a lot from those recent trips!

Mom always wanted to see the parks decorated for the Holidays, so in 2011 she planted the idea of going in December. Turns out we loved that trip sooo much, we have returned during that time period every trip since!

STEP ONE - Resort selection. In 2011 we stayed at the Port Orleans - French Quarter and LOVED it! We returned in 2012 and stayed there again. In 2014 we wanted to try something new and selected Coronado Springs. We didn't care for that location only because of the distance we were from the food court, front desk, store etc. For this year's stay we started our trip planning by making a 'short list' of new resorts we wanted to try. I, of course, made a spreadsheet. Complete with links to the various resorts:



After a long and somewhat exhaustive 'family meeting', we selected our resort for this year: Caribbean Beach Resort! Our first choice was going to be our first time at a Deluxe Resort - the Wilderness Lodge. But, after finding out the pool area would be closed during our trip, we decided to go with option 2 - CBR. We are rarely at the hotel, so it was hard to justify the cost of the Deluxe Resorts... but with a full 'rest day' scheduled in the middle of our stay, we thought we would try one. A day to rest around the pool is just what the doctor ordered on an 8 day trip! Since the pool at WL was going to be OOS, we opted to go back to a moderate resort. We went with a 'Preferred' room so we could be close to the main buildings (pool, food court, store, etc).

So... how nutso am I? My next post (if there is interest) will cover the current 12 tab spreadsheet and the lengths we went to selecting TS meals and making reservations for the trip!

Please! Share your pre-planning process! Please let me know I'm not alone... lol

Not so much on the front end like @Cowboy Steve, but once we had our dates and resorts finalized for our Disneymoon and ever since our first round of ADRs, the fiancee and I have been "tweaking" our color-coded day-by-day schedule and just finished the latest updates to our FP+ and general touring plans, taking into account intra-park travel and preferred non-FP+ rides and shows. MDE is worthless for the level of detail we want to have at-a-glance, and fortunately she's just as, let's call it "detail oriented" as I am. ;)

I'm with @KikoKea, I typically go through countless notepads writing and rewriting our itineraries but I think it's time to up my Excel game! Researching and making plans is half the fun of the trip for me and helps keep me keep me going while I'm counting down for the trip. Thank you for sharing!
It's a good thing that I don't know how to use Excel!

I write everything down, when I am figuring stuff out, and before I actually book my hotel and airfare. I have never used a spreadsheet. Actually MDE helps me a lot, after the hotel is booked. I can record stuff there, but before I leave for my trip, I write down daily facts, and carry that in a small notebook. You never know when the app/website might not work.

Sure -- it's mostly by geography within the property, which helped me visually depict how much time we were spending in each park and make sure that travel between sites made sense:

  • Light pink - MK-area hotels
  • Pink - Magic Kingdom proper
  • Yellow - "Home" hotel and Disney Springs
  • Brown - Animal Kingdom
  • Orange - Hollywood Studios
  • Light blue - Epcot-area hotels/Boardwalk (there's a darker blue, not pictured in the screenshot, for Epcot proper)
  • Green - Arrival/departure

The one thing I don't have in here yet that I've thought about is adding rough estimates (worst case scenario) for travel times - for example, accounting for the walk from HS to YC to make our dinner reservation. Since this is our Disneymoon, I'm really trying not to overschedule each day (hard to believe!) but want to make sure that we make it to our "must do's" and ADRs/FP+ (indicated in bold) comfortably.

I use (and reused for 4 different trips) our Disney board. Its a 1/4 sheet of foamcore marked by day accross the top and 6 3 hour segments of the times of day down the side. EMH, AM NOON, PM, EVE, and NIGHT. Ut is a grid of squares the size of a post-it. We then fill in the EMH parks each day followed by ADRs. It is fun and easy to change and move the post its as plans change and develop. Like a big board game of a logic puzzle.

The OP's spreadsheet is pretty similar to something I did prior to my trip back in November and what I am working on for my family's next trip, however, mine wasn't/aren't color coded..............yet.

I may not do a spreadsheet, but I keep looking for ways to make my vacation as efficient as I can. Today, I switched a meal from one day to another I was lucky that I was able to get a late breakfast for 7 changed to a different day. Now, I should just walk away, and let everything I have recorded alone. Sometime, the tweaking needs to stop. I just hope when I start making fast passes, that I can get what we would like, and then I leave it alone. It's the Virgo in me.

Wow, OP, just WOW! I had no idea that some people planned so much for a Disney trip! It's amazing, and I am learning a lot and living through you about our upcoming trip in November to WDW.
I'm the planner for my husband and me. But we try to be less structured each trip. Last trip we gave up the dining plan, and just paid out of pocket. Gotta tell ya, it was great to Not have to be somewhere at a certain time to eat, even if we were not hungry, too hot, not in the mood for sit down, you get the picture. I also set up fp's for 4 of our 10 days only, and then we only used one or two at these parks. We stood in line for the other attractions if we felt like it. We do try to go to wdw at "slower" times of the year, if there is such a thing anymore:)

For us, this works great - some planning but not too much. For others the level of planning varies, and I always find it interesting to learn how other Disney fanatics are doing things. Have a great trip and will enjoy reading more!

Thank you! Since we mostly only visit every other year, we try to maximize our time in the parks. This is the first year of being this extensive with our pre-planning. After a long hiatus, we returned to Disney in 2011. Disney had always been one of our favorite family vacation destinations when I was a kid. My mom wanted to do an annual family vacation like we did 'back in the day' when my sister and I were kids. We had never visited WDW during the holidays... so we thought we would try it! We have come during that time of year every time since. We went all out with staying at a MR... and tried the DDP for the first time. We went in pretty much blind that year... and learned a lot! So in each successive trip (this will be trip #4) the pre-trip planning got a little more elaborate. We learned that... if you want to get the ADRs you wanted, you needed to be prepared and make your reservations at the first opportunity (right at your 180 days out) lol! Here are some of the reasons my sis and I love the pre-planning:

1. It 'extends' the vacation! By doing research and looking into what is happening on the property, and what will be happening when we are there, it builds the anticipation of the trip!

2. It reduces stress on the vacation. By the time we actually get to the parks, the major parts of our schedule are complete! We have no worries... no big decisions to make. We know what day we are going to be in what park... when and where our TS meals are... when and where particular shows/parades/events will be taking place... FP times etc.

3. It helps make our time in the parks a little more efficient, and helps keep us from criss-crossing back and forth across the parks - that is exhausting and I'm getting too old! We know the parks enough to know what we want to see and do... so having a plan helps manage our time... because we certainly don't want to miss anything :D

The daily schedule isn't hard and fast - it just lists the things we have reservations for, and the things we would 'like' to do and see. My daily sheet is there to give us an overview of our day yet allows us to remain flexible. And it is a good backup if the MDE app goes down or isn't available for some reason.

I'm an awful doodler, so lots of disney doodles too :) I will probably type up all the important info on InDesign to take with us, it's good to be prepared but I'm trying not to go over board, which seems to be a hard enough task.

I do all the planing/ booking kfor our holidays because my mum can't use a computer and my sister, well planning isn't in her nature. I usually have scraps of paper around the place of bits and bobs of planning, so this year I've written everything in a little mickey notebook, everything from when we first started researching hotels to fastpass choices for each day. I'm an awful doodler, so lots of disney doodles too :) I will probably type up all the important info on InDesign to take with us, it's good to be prepared but I'm trying not to go over board, which seems to be a hard enough task.

I personally have an intense love for Excel, and so I can fully appreciate the spreadsheet! Even before FastPass+, my mom would make daily itineraries with the rides listed in order, and scheduled in the approximate wait times. I know she used a website for this, but I dont remember what it was.
