Room requests @ Resorts

I am finally in what would be called the home stretch having made these reservations in August of '06 for this Dec (8th-15th). I have read just about every conceivable bit of Disney minutia and info available. Name a book and it is right beside me on a shelf or nightstand. I will say that by far the most helpful information is to be found reading posts from you vets of the World on this here board (and believe me, I am on dozens of Disney BB's.) I hope (actually I know) you can give me the best advise to these questions.

When I made the res's through a local AAA agent, I purchased 2 rooms (room #1 for my DD, SIL, DGD's #1 & #2, and room #2 for DW and myself). We purchased MK views and on the res's I requested a certain bldg and even the range of rooms that were preferable. I have also been lucky enough (actually enough by calling 180 days in advance at exactly 0700 as indicated by an atomic clock) to get every ADR, Fantasmic Dinner pkg, CP Dinner pkg and MVMCP dates and times that we hoped for. Now I know that it is suggested that approx. 4 days before arrival that you fax a reaffirmation of your various room preferences and various other requests but #1. How is the best way to go about this? #2. Who is the best entity to fax these requests to? and #3 What has been your experience with success rates of these requests???

Thank you for any help in these questions and especially thanks for all the advice that you rendered to others that I was able to cull invaluable knowledge.

The hotels no longer accept faxes. A request is just that and cannot be guaranteed. We always call a few days ahead to confirm our reservations (we deal with WDW not an outside agency) and make sure our request is noted. We have always gotten our request except for one time and we were upgraded (complimentary and not asked for) because the room was not available.

You will have to call AAA to confirm your reservations, but they cannot help you with the room request.

Let me be of some help...

If you booked your stay with a Travel Agency, you will need to contact your Travel Agent themselves to verify that they listed your requests correctly.

The Disney Resorts Hotels cannot acknowledge your reservation until you check-in and will not accept any requests mailed or faxed to them. If you call the Resort directly they will simply transfer you to the Disney Reservation Center. Here at the Disney Reservation Center if you booked with a Travel Agent we cannot access your reservation at all to verify it, modify it, or list any requests. Due to the commission your Travel Agent receives from Disney, legally they own your reservation until you arrive, and as such we can only speak to the Travel agent about it.

As long as your Travel Agent made the requests you asked for, the Resorts will always attempt to fulfill all Guest requests, but attributes such as view, location, specific bedding, and proximity to other rooms can not guaranteed.

Your room assignment is not finalized until you have checked-in and your room has been prepared so there is no way to verify in advance if your request can be honored.

By what JP just said I would go down to the AAA office. I'd sit in front of someone, explain the situation, explain that you have been told by a CM that only the agent can converse with Disney about your reservation, and ask them to call Disney while you are there to confirm your reservation and reiterate your room preferrences. Don't feel bad about doing this either. You aren't puting the agent/AAA out by asking them to take the time to do this while you are there. You've spent a lot of money. They are making a commission. It is their job to work for you to do everything they can to make your trip what you hope for. At that point you will know that everything that could be done was. If your room requests are not honored you won't be blaming your agent or the fact that you used an agent. It'll just be chalked up to luck.

One last piece of advice...If you have your agent make any changes whatsoever make sure that the CM he/she is speaking with reads back all of your special requests as they do not always transfer correctly when changes are made in the system.

Thanks for all the helpful advise. I indeed spoke to the AAA agent today as per several suggestions. She read back all the initial requests made at the time of the booking (Aug of '06) i.e. Bldg. connecting rooms, view (Quick additional question. If I paid a premium for two MK View rooms wouldn't I get a MK View ROOM? Why would I have to request it again????) etc. She said that she would call again on 12/3 and 12/4 to speak to the resort's room assigner<sp> and reaffirm my special requests. She also stated that as a matter of rule she has the CM read back all stated requests. Thanks again.

In the case of the MK view...The MK view is, if I am not mistaken, actually a room category and not a request. That pretty much boils down to you paid extra for it so you get it unless something unforeseen happens at the resort which is fairly rare.
