Room number assignments...

I remember, years ago, faxing in the room requests 4 days prior to my arrival to that the Room Assignor can get my requests in after they assigned my room to me. Apparently this is not the case any longer. Though I have not faxed in this request in years I still make a couple of them when I book my package. However, I would still have assumed that they assign your room to you 4 days out. Is this not the policy any longer? The CM's I speak with at the resort are telling me that the room is assigned to me when I check in, but I have already checked in using the online system. Shouldn;t me room number be assigned to me by now?

I would assume they go by what rooms are available when you actually arrive. I don't see how they can know for sure what rooms will have definitely been checked out of, cleaned, have no maintenance issues, etc. four days before you arrive. I also assume even if you do online checkin, you still have to let someone at the resort know when you've arrived, get your room number(s), KTTW cards, etc.

I think rooms can be assigned as far as 4 days out, but I think the typical time frame is more like 1-2 days. This room assignment can of course be changed all the way up to your room becoming ready for you to go into.

If have a particular room request, make sure you have it noted on your reservation as soon as possible.

If I am not mistaken @CaptainShortty should know for sure.

We have been told at check in before that we are assigned to a particular room, but that it's not ready and then they look to see if there is one that is ready so we can get in to the room right away. I always assumed that this was because we do online check in and they assign the room prior to arrival, but can change the assignment if needed.

I thought that the room would be assigned before we check in. I am being as neurotic about this as I am because I am hoping to get one of the rooms closest to the parking and on the first floor. LOL

It is assigned before you arrive at the resort but it can change until the point that you are given the room number. If you are assigned room 3054 the day before you arrive and the A/C unit goes out or they find a dead body in the room you will more than likely be given another room.

The rooms are assigned further out than most people think.
Last year we stayed at OKW using part DVC and part cash payment. It was 2 separate bookings. We assumed that we would be able to organise it when we arrived so that we didn't have to move rooms half way through our 11 night stay. We were not able to achieve this because the resort was full and all the rooms had been assigned for the next 2 weeks.

Happy to give my insight! It honestly depends on the resort and can even vary from day to day within a certain resort. Those resorts that focus on groups (ie: CSR, Cont, All-Star, etc.) my begin blocking their rooms as early as 5 days out or more to ensure that groups are blocked together, etc. Those that do not, may wait until the day before or even the day of to assign a guest a room. Additionally, if any resort is close to or completely full, they will usually block each room to ensure that everyone has a place to sleep at night without being forced to move rooms halfway through their stay. It's really like a giant game of Tetris everyday.

On too of that, because Disney hasasenit a priority to give guest clean rooms when they check in, whatever the time, rooms may be move around by the operations team to try and get a clean room upon arrival. Of course it's not always guaranteed but they will do their best.

This is why online checkin is so beneficial to that process. When you tell us when you're going to be here, we can more accurately plan to get you a clean room that meets your requests as fast as possible. Of course it's not always available but it certainly helps.

In light of all that knowledge, I would fax your request over to the resort and also call whoever you booked with to have it added to your reservation.

That actually enlightens me to what happens. Thank you. I just thought they were being obstinate. Now I know better. :D

I booked with Disney directly (over the phone), would I still need to fax? I am staying at AKL 10/16-10/20, my main request is a King bed. I paid for a standard room.

I've been trying to do the online check in but the system always seems to be down, I did want to request a certain building as it's DH's favorite, maybe we'll just try our luck at check in if I can't get to the online check in.
