Possible huge problem with my upcoming trip...Need advice.

hmm...see if they will let you add her to the DME, without dealing with the Boardwalk hotel issue. If not, I'd consider just arranging alternate transportation to the resort (cab, shuttle, etc) and just not telling Disney until you get there. I'm sure the Boardwalk will accommodate you once you are there.

the back up option would be to call 407-824-2222 and ask for boardwalk operations, then ask to speak to the duty guest service manager.

see above comment. i would do this same thing if you can not get her on DME. So she is in a cab or what ever from the airport to the hotel. big deal

Thank you all. We have solved the issue. We are getting an additional room and all splitting the costs. Thanks for all the advice.

A couple suggestions of things that I would probably do if I were in your shoes...

1. I'd contact Guest Services and try to speak to someone who is empowered to possibly do something. If the issue is due to them not wanting to violate fire codes, however, their hands may truly be tied on the issue. However it never hurts to double check. Maybe they can suggest an alternative that hasn't been considered yet.

2. If contacting Guest Services still doesn't get you anywhere, then if I were in your shoes, I'd see if maybe one of the kids would be willing to sleep in a sleeping bag. Not the ideal option, I realize, but it would probably beat springing for an additional room. You could either pack the sleeping bag, or even go to Walmart when you arrive and purchase a cheap one (then leave it behind when you leave). All in all, still likely much cheaper than getting another room.

You don't ever want to chance taking someone without telling the resort. God forbid there is a fire, you don't ever want the firemen to think they have everyone out of the room when in fact you have one person not accounted for. It's a horrible suggestion...do not take that advice. And yes, having worked for Disney for 10 years, they know how many people are in the room. Why would you put yourself or a guest with you in the embarrassing position of getting caught....

Your fine with your party size. The room you have will accommodate all you fine...you just got the wrong info from the res agent.

Sleeping bag does not solve the issue. The issue is the number of people allowed by Fire Law in any particular room. The kid could sleep in the tub if he wants to, but that still does not allow for another person in the room.....

If you have a 2 bedroom unit...that will hold 8 people....babies in cribs are not counted as part of that 8.....
 
Why? Just put the two babies in one crib. We did it with my sisters twins all the time.
WHy not bring along your own pack 'n play? We have done this when travelling to other destinations, and it's not that bad. Even with the extra luggage charge (typically $20), you will still save $! That way, you can add mother-in-law and delete one baby (figuratively speaking, of course!).

I've stayed in this type of villa, and am not seeing the problem?

The master bedroom has a King = 2 people A crib will fit in easily. 3 people
The Living room has a fold out Queen couch = 2 people. Another crib could be set up here. 3 people
The studio has a Queen and a fold out double couch = 4 people

That actually allows for 10 people, (8 plus 2 cribs) if all of them are willing to share a bed. Now your MIL might not want to sleep with your niece, which is where the sleeping bag would come into the picture.

I believe both of the units (which are joined to form a 2 BR) have a port-a-crib in the closet all the time. Ours did; we never requested (or needed) it.

That's why I was a bit confused, too... If they were rented out to two separate parties, you could have 4 adults plus 1 baby-in-crib in the Studio, and 4 adults and 1 baby-in-crib in the 1BR, for a total of 8 adults and 2 babies. Why does it all of a sudden become a problem when it's one family reserving the whole thing?

I'm starting to think that someone at CRO has coded the reservation wrong, kind of like another poster said a day or two ago where their 5-year old was listed as an adult, and was charged the extra-adult fee....

Also, I don't know how the DVC points add up, but how much is a 1-BR plus a Studio, compared to a 2-BR? If the system won't allow 8+2 in a 2-BR, if the point totals are similar, you could reserve a 1-BR and a Studio with 4+1 in each reservation (which the system should have no problem doing). I'm sure the front desk would try their best to get you adjoining units, especially after explaining the reason for the separate reservations.

That was our argument, also. They say the capacity for the 2br villa is 8 people plus one baby. We have 8 people plus two babies. So Disney said "No, you can't fit one extra baby in the room". But thats all water under the bridge now. We used additional points for an extra studio for October. Cost a little money (not much, really), which we are all splitting.

Hrrrrmmmm tough one.

My thinking is fire code is fire code and there's no getting around that, but I would talk to a manager there to make sure the fire code is being interpreted correctly for that type of unit. Then, I would let them know if a mistake was told to you earlier but ultimately that will just result in a reprimand for the rep who made the mistake, maybe firing. who knows.

As far as sneaking someone in, don't do it. Disney can track your everything. If you all have park tickets, if you all eat, Disney will know there's an extra person. Sneaking someone in could seriously ruin your vacation.

I would talk with a manager like suggested before, and verify the information. Tell them what the rep originally told you. Ask that you want the "fire code" verified. If they can't do anything after you press them, then I think the mother in law can't come and should be refunded the cost of things already booked. If they are Disney things, demand their cooperation with that, and I think since it was their mistake, that you will get it.
