Faxing Room Requests

I just wanted to get some info as to how you go about faxing your resort a room request a few days before arrival. Who specifically do you put on there that it goes to? When I arrive, what do I tell them, or will it automatically be in the system? Anyone ever have a problem doing it...Like when you arrive and they say they never recieved a fax? And anything else that I should know when faxing a request???

I won't be going till November, but I wanted to get some imput. I've never done this before. But I might this trip.

Call the resort 72 hours(3 days) before arrival and ask for the front desk and tell them what you may be looking for. Its worked for me in the past. Central reservations told me that a few years ago and it has worked depending on how busy the resort is. I try to call at about 7:00 in the morning 3 days prior. It may not work but its worth a try. What resort are you staying at?

The resorts no longer accept faxed requests. If you call your resort directly, your call will be forwarded to CRO. All requests should be noted on your reservation, and Disney will do their best to honor them. If you booked your trip yourself through CRO, call them and ask them to note your request. If you used a travel agent, they will need to contact Disney with your request. Hope this helps.

I will be booking through Kingdom Konsultants for the 1st time. So I guess I should let them know. Thanks for the help and info, good thing I asked!

It has already been stated but I will say it again to make sure that there is no confusion. Faxing your requests will do nothing. It did at one time but that day is long gone. If you call the resort directly in regards to special requests they will simply connect you with the reservation center.

Let KK know about any special requests that you have and they will make sure it is noted on your reservation. They still can not be guaranteed but you will at least have a fighting chance to get them. Also note that if you make any changes to your reservation the special requests will not always follow the change so make sure that KK confirms your special requests after any changes.

Ok I will just have it noted on my reservation.

Actually last year we told our travel agent to just jot down that we would like to stay in the Alligator Bayou section at POR, we really didn't care where we ended up. We didn't expect anything, but when we arrived they did put us in Alligator Bayou because of our request so that was good. We really like the 50's section at Pop Century, and both times we've been there, thats where they've put us, so we would like to stay in that section again. I'm kind of glad I dont have to fax anything over. I'd rather just tell KK about it.

Our requests never seemed to make a difference. But the best room we ever had - at Coronado Springs - was purely by accident, and had nothing to do with aany request we had made. So I'm not sure I'll bother any more.

huh, that's funny. Because people all over 'other sites' are reporting having their requests met through faxes. Maybe they're just lucky? :shrug:

At any rate, I've also seen it's better to keep the requests simple and limited.

For example, we're staying Pop Century, and while I've never been there,
I've done plenty of research on the best preferred rooms (discount was only for preferred rooms).

I settled on requesting only that we don't directly face a pool, even though
there are a few other requests (upper level floor, certain sections) I'd like to have as well.

It is an old policy that is no longer in effect but many still preach it because if worked for them in the past. It is my understanding that many if not all faxed requests sent to resorts go straight to the circular file.

Faxing in room requests is no longer accepted. JP stated as much in a thread from last summer.

Let me be of some help...

We have been instructed at the Reservation Center that ALL of the Disney Resort Hotels will no longer accept or consider any room request faxed or mailed to them. If you try to call the resort directly before you check-in, the switchboard is instructed to redirect your call to the reservation center, not the front desk.

The best time to make requests for specific rooms, buildings, bedding (i.e. a king bed, bunk beds), smoking or non-smoking, ground-floor, connecting rooms, etc. is when you first book the reservation or as early as possible after your reservation is made. Please note, we at the reservation center have a VERY limited space to enter in room request, so please limit your requests. Also note, package bookings do have more space to enter requests then room-only bookings.

When you call to make any modifications, please have the reservation agent verify any requests you have made for your room are still there. Due to system challenges, the accommodations comment box on a reservation will clear when a modification is confirmed, erasing any requests that were noted. To ensure they are correctly re-entered, please ask us to read back to you what is there before the end of your call.

The resort room coordinators will do their best to honor as many request as possible, but will factor in the number of request made. For example if you have 10 different request and another guest made 1 or 2 requests, you may get some of the 10 honored, and the other guest may get all of their request honored. Although the Resort may start pre-assigning rooms up to 2-3 days prior to your arrival, your room assignment is never finalized or guaranteed until you have arrived and are checked-in to your resort. No one at DRC or the Resort itself will be able to disclosed what (if any) pre-assignments have been made, so please don't ask.

Please try to be general in your request. If you simply request room 1004 (because you know it is the closest to the bus stop) and it is not available, the resort does not know how to honor it. If you simply request a room close to transportation, and room 1004 is not available, the resort may assign you room 1005 next door, honoring the general request you made.

Be sure to always ask your reservation agent to check to see if what you want is even possible. For example, if you are booked in 2 standard (parking) view rooms at Disney's Wilderness Lodge, and you want connecting rooms, it cannot be honored, as there are no connecting standard view rooms at the Lodge. Also some room categories are all non-smoking, and some are all smoking optional. Many rooms now have limited bedding configurations. Request for king beds, or bunk beds may not be possible because there are none in the room category you are booked in. New for 2007, most bunk bed rooms are now a separate room category. Magic Kingdom view rooms are also now a separate room category.

Please keep in mind, rooms such as the Preferred Rooms at the Value Resorts are charged a preferred priced because they are the closest to the main hall with the Food Court, Bus Stop, Front Desk, etc. Please do not request to be near these locations if you are booked in a standard room. These type of request can not be honored or even considered as it is essentially asking for a free upgrade.

Finally, remember nothing will guarantee you get your requests; that really will always depend on what rooms are scheduled to be vacant on the date you check-in. Often there are only a few rooms in your room category for the room coordinators or front desk cast to choose from.

Your reservation downloads to the resort approx. 5 days prior to your arrival. What you want to do is make sure to contact Central Reservations and have your requests put right on your reservation this way the resort has it prior to arrival. That is the best way to do it.
