When do you find out your room number?

i think the best thing to do is to print the room lay-out of the resort that you are staying. I just did this for our may trip to POR and it was nice to know exactly where will be located when they actually give out the number to you.
I like that idea - where can you download the room layout map? The only thing I see on the resort page is a map link that just shows the layout of the resort - doesn't show what room numbers are in what building...

The earliest you'll find out is if you do online check-in and allow them to do text alerts. You might get a text message before you arrive that day of your number. Otherwise they'll tell you when you physically get there.
this is very accurate. The earliest we received was while sitting in the Philly airport waiting for our flight

With all of the planning starting a year out; it would be really nice to know the room number at the earliest moment. riverside as an example; you would know what paths, quiet pools and bus stops that you are closest to. You could in bldg 85, and your garden room could be closest to the bridge and quiet pool or you could be at the other end , closer to the oak bldg.

And basically they do tell you at the earliest moment. A hotel cannot assign a room until it has been vacated by the previous guests, the room checked for fitness for occupation and housekeeping cleans and resets the room to default setup. Housekeeping then releases the room and then you get the message.

If during the room check discovers an operational problem and the room must be taken off of inventory until repairs/maintenance can get the room ready. This then causes a room shuffle as room assignments are shuffled to get everybody in an operational room. So lots of people can be shuffled to make it all work out. So, really the earliest you can be reliably told you room assignment is day of checkin.

Yes, this is why you don't get your room number until it's ready for you to occupy. The room assignments may be made in advance, but they're never set in stone. It's very common for assignments to be switched around as guests check in throughout the day.

Hotels keep a running tally of open rooms, room service cleaning rooms, etc. on pretty much a real-time basis. Once you booked the hotel with whatever amenities -- queen beds, king beds, sleeper-sofa, suite -- that is recorded and when you arrive a room matching your wants and needs (unless it is for a special needs person or elderly), will be assigned.

The room or rooms are assigned instantly when you check in.

Well.......not quite. While it's true of many hotels in the industry (how necessary is pre-assigning rooms at a 50-room Holiday Inn?), Disney does assign many rooms in advance, but it's only a few days out. On hotels as large and complex as Disney's (some resorts have over 2000 rooms), this is a necessity. Each resort has a Room Assignment team that handles the task. That's the only way that they can come close to trying to accommodate things like connecting rooms, something near the bus or pool, etc. There's also continuing reservations where a booking is split into two (or more) reservations and they assign the Guest the same room for each reservation.

Of course almost none of it is set in stone. They'll often re-assign rooms at check-in if someone arrives early or they don't like what room they were originally assigned. So what rooms people are in at 11pm is sometimes quite different than what the map looked like at 7am. But there's still a lot that gets done ahead of time.
